What changed
- Project data silos (Excel)Live searchable R&D database
- Email-based approvalsAutomated workflow & audits
- Manual quarterly reportingReal-time pipeline analytics
- Decisions on stale infoEvidence-based funding
01The problem
Research project project data across an institution lived in complete silos — Excel files on individual desktops, email threads tracking approvals, shared drives with no structure. Leadership had no real-time view of what was being worked on, what was funded, or what had been completed. Reporting was done manually every quarter. Funding decisions were made on stale information.
02What we built
We designed and built a comprehensive, role-based R&D management platform from scratch. Faculty submit projects through a structured form. Administrators review, approve, and allocate funding with a full audit trail. Project milestones are tracked automatically. Leadership gets a real-time dashboard showing the entire research pipeline — by department, status, funding stage, and outcome.
03Deliverables
- Role-based access system — faculty, reviewer, admin, leadership
- Structured project submission & approval workflow
- Funding allocation and milestone tracking
- Research output and publication logging
- Department-wise analytics dashboard with live data
- Automated report generation
- Full audit trail for every action
04Impact
The institution went from zero visibility to a live, searchable, fully documented research database. Leadership now makes funding decisions based on current data. Faculty engagement increased because the system respected their time. For the first time, the institution could accurately report on its complete research output — critical for accreditation, rankings, and grants.
